Feeling like your time is slipping through your fingers—especially during seasonal transitions like summer or back-to-school? You’re not alone. In this episode, I’m joined by time management coach and fellow mom Michelle Byrd, host of The Busy, Vibrant Mom Podcast. Michelle shares her top 5 productivity hacks that help busy moms manage their time with more ease and less stress—no matter what life throws your way.
We’re talking about the real-life chaos that happens when routines shift (like when kids are suddenly home for summer or your school-year schedule kicks back in), and why trying to do all the things often backfires. Michelle shares how to avoid the most common time management mistake moms make, and why your systems should actually match your family’s rhythms—not someone else’s planner-perfect grid.
You’ll hear how a simple red/green door sign helped my own kids understand when I was available (or not!), plus Michelle’s smart takes on time blocking, batching, digital calendars, and choosing the right task manager for your brain.
If your to-do list feels a mile long and your brain is on overload, you’re going to love these practical, doable tips. Michelle’s advice is thoughtful, honest, and refreshingly flexible—because productivity should support your life, not control it.

Show Notes: 5 Productivity Hacks for Busy Moms with Michelle Byrd
Hey, hey friend! Welcome to Episode #246 of The Secrets of Supermom Show!
I’m so excited to introduce you to Michelle Byrd—fellow mom, time management coach, and host of The Busy, Vibrant Mom Podcast. Michelle joined me for a jam-packed episode all about productivity, routines, and how to handle those tricky transition times (like summer chaos or the back-to-school rush) without losing your mind.
As two moms who live in the trenches of working motherhood, we had SO much in common—and this conversation is overflowing with practical tips, encouragement, and a whole lot of real talk.
If you’ve ever felt overwhelmed trying to do “all the things” when your schedule shifts, this one’s for you.
Meet Michelle Byrd
Michelle lives in the Bay Area with her three kiddos (ages 11, 13, and 15) and her amazing husband (who handles all the cooking—yes please!). She found her sweet spot in helping other moms navigate time management and routines after realizing how challenging life becomes when school, work, home, and parenting all collide.
She’s passionate about supporting moms whose brains don’t naturally think in spreadsheets and checklists—and she brings so much heart and wisdom to the table.
We Talked About:
- Why transitions (like summer or back-to-school) always feel chaotic and how to plan for them
- One simple visual tool I use at home to help my kids know when I’m available (hint: red and green signs!)
- The biggest mistake moms make when trying to get more productive
- Why trying all the systems at once just leads to burnout
- How to find what actually works for your brain and your family
Michelle’s 5 Productivity Hacks for Busy Moms
Michelle walked us through her favorite tried-and-true time management strategies that help her juggle family life, work, and all the in-between moments.
Here’s what she shared:
- Use a Planner (Physical + Digital)
Michelle loves her Horacio Printing planner (use code MICHELLE20 for 20% off!). It gives her space to write, dream, and plan—all in one place. She also uses a shared digital calendar to sync with her husband and teens so everyone stays on the same page. - Establish Solid Routines
Morning routines. Bedtime routines. Workday rhythms. These help reduce decision fatigue and let your brain breathe. Plus, routines help the whole family know what to expect. - Time Blocking
Instead of staring at a mile-long to-do list, Michelle breaks her day into focused blocks (like morning, work, pick-up, evening). Time blocking doesn’t have to be rigid—just having structure helps you get stuff done without drowning in overwhelm. - Stay Organized—Physically and Digitally
Clear your workspace, minimize clutter, and use a task management tool that fits your brain (Michelle loves MeisterTask; I’m a ClickUp fan!). Try out a few until you find what works for you. - Batching Tasks
The Swiss Army knife of time management! Michelle batches errands, lunches with dinner prep, and even meetings. Batching saves time, energy, and mental load—especially when life is full.
Small Step to Start Today
Feeling inspired but not sure where to begin? Michelle recommends choosing just one sticky spot in your week—maybe mornings are chaos, or you never know what’s for dinner—and start there. Don’t try to fix everything. Start small, and build from there.
